A practical rent collection checklist for Kenyan landlords

A reliable rent process is not only about receiving money. It also depends on accurate invoices, payment references, reconciliation and consistent follow-up. Use this checklist as a repeatable monthly routine and adapt it to your lease terms and business process.

1. Before the due date

Confirm each unit's agreed rent, billing period, due date and any approved recurring charges. Send reminders through the communication channels agreed with each tenant.

2. Record incoming payments

Record the amount, date, payer reference and the tenant or invoice it relates to. For mobile-money or bank payments, reconcile against the relevant statement or transaction confirmation.

3. Match payments carefully

Check whether a payment covers the full invoice, part of an invoice or more than one charge. Avoid marking an invoice paid until the records support that status.

4. Review outstanding balances

Compare invoices with payments and credits. Separate genuinely unpaid amounts from payments awaiting identification or reconciliation.

5. Follow up consistently

Contact tenants privately and respectfully about unresolved balances. Keep a note of the date, channel, response and agreed next action.

6. Close the month

Review exceptions, issue receipts where appropriate, check that totals reconcile with payment records and carry unresolved items into the next review.
