A tenant onboarding checklist for rental properties
A consistent move-in process reduces avoidable confusion later. Use this checklist to make sure property, tenant, lease, handover and first-billing details are recorded in a consistent way.
Confirm the unit and availability
Verify the property and unit reference, expected move-in date, rent amount and any agreed recurring charges before preparing the tenant record.
Collect and protect necessary details
Collect only information needed for the tenancy and your lawful record-keeping. Limit access to personal information and store it securely.
Complete lease documentation
Make sure the parties have reviewed the lease terms, rent due date, deposit arrangements, responsibilities and communication channels. Seek qualified advice where terms are unclear.
Create connected records
Record the tenant, unit, lease dates and agreed charges consistently so later billing and maintenance follow-up points to the correct tenancy.
Document the handover
Record keys or access devices issued, meter readings where relevant, existing defects, inventory and photos agreed by the parties. Give both sides a copy of the handover record.
Explain reporting and payments
Tell the tenant how to report repairs, where to send payment references, how receipts are provided and how to contact the landlord or manager.
Review the first billing cycle
Check that the first invoice, due date, prorated charges if applicable, and any agreed deposit are recorded correctly before relying on automated reminders.
Before you close the handover
- Tenant and unit references match across records.
- Lease and payment terms have been communicated.
- Meter readings and condition notes are dated.
- Tenant knows the agreed repair-reporting process.
- Access to sensitive records is limited to authorised people.
