This page provides general information about the service's privacy practices. It is not legal advice and does not replace any notices or agreements provided by your landlord, property manager, or other service provider.
1. Who this policy covers
This Privacy Policy explains how Masskani Property Management System (‘Masskani’, ‘we’, ‘us’ or ‘our’) handles information when you visit our website, create an account, or use the platform. Masskani provides property-management tools for landlords, property managers, and their authorised staff. If your landlord or property manager uses Masskani to manage your tenancy, that organisation may determine how your tenancy information is used; contact them for questions about their own handling of your records.
2. Information we may process
Depending on how you use the service, information may include account and contact details; workspace and company details; property, unit, tenant, lease and occupancy records; rent, invoices, receipts, payment references and payment evidence you choose to submit; utility readings and charges; maintenance requests, attachments and messages; employee, role and access settings; subscription and transaction-status information; and technical information such as device, browser, security and diagnostic logs. Please provide only information needed for a legitimate property-management purpose and ensure you are authorised to upload another person's information.
3. How we use information
We use information to create and secure accounts; deliver property-management features; maintain property, tenant, lease and financial records; prepare invoices, receipts and reports; process and review subscription or payment-related submissions; route maintenance requests and notifications; provide support; prevent fraud and misuse; troubleshoot reliability issues; meet legal obligations; and improve the service. We do not describe a payment instruction or uploaded proof as a completed payment until the relevant workflow confirms it.
4. Roles and responsibilities
Workspace owners and authorised users are responsible for the accuracy of records they enter, the permissions they grant, and having an appropriate basis to collect and use tenant or employee information. Where Masskani processes information on behalf of a landlord or property manager, that organisation remains responsible for its decisions about the data and for responding to requests concerning its records, subject to applicable law.
5. Sharing and service providers
We may make information available to authorised users within the relevant workspace according to their assigned permissions, and to service providers who support hosting, database operations, authentication, communications, security or payment-related administration. We may also disclose information where required by law, to protect users and the service, or in connection with a lawful business reorganisation. We do not sell personal information as a business model. Third-party services may process information under their own terms and privacy notices.
6. Storage, security and retention
We use technical and organisational safeguards intended to protect information, including account authentication and access controls. No internet service can promise absolute security. Keep login credentials confidential, use strong passwords, and remove access when staff no longer need it. We retain information for as long as reasonably needed to provide the service, maintain records, resolve disputes, enforce agreements, and meet legal or accounting requirements. Retention periods can vary by record type and by the organisation managing the workspace.
7. Your choices and rights
Depending on your relationship with Masskani and the laws that apply, you may be able to request access to, correction of, deletion of, or a copy of personal information, or object to or restrict certain processing. For information held in a landlord's or property manager's workspace, contact that organisation first. We may need to verify your identity and may retain certain records where lawfully required or where an exception applies.
8. Cookies, sessions and technical data
The platform may use essential browser storage, cookies or similar technologies to maintain authentication, protect sessions, remember necessary preferences and support core functionality. Disabling these technologies may prevent parts of the platform from working properly. Technical logs may be used to investigate errors, security incidents and service performance.
9. Children and sensitive information
The platform is designed for property-management and business use, not for children to create independent accounts. Do not submit sensitive personal information unless it is necessary, lawful and appropriate for the property-management purpose. If you believe information has been submitted improperly, contact us or the workspace administrator.
10. International processing and changes
Service providers may store or process information in locations outside your own country. Where required, appropriate safeguards should be used for such processing. We may update this policy as the service or applicable law changes. The revised version will be published on this page with an updated date; material changes may also be communicated through the service where appropriate.
